Procedures of booking of venues and/or facilities for your project presentation
(including the venues for setup/production)

1. Submit booking request to your project advisor or course leader.

If you want to book lab(s) in SCM area or classroom(s) in the University, please use this form

If you want to obtain offical permission for video-shooting and/or photo-taking in campus, please use this form

If you want to use common areas on campus for your GT, please fill in this form (this form is in orange color, the digital file here is only for reference, please obtain the true form from GO), and provide the following information: Facilities required & Support required from other University departments such as FMO, if any

If you have any other requests, or you think the forms above do not fit, then please make a form for yourself, like this:

2. Obtain approval from your project advisor or course leader

3. Hand in the approved request to the School Counter. As we have to coordinate with other parties, you are required to submit your request to the School Counter at least ONE WEEK IN ADVANCE. Please also note that FMO has been providing tremendous support to our students on their projects. However, they have encountered the following situations:

1. Students did not show up at the appointed time
2. Students did not know exactly the set up specifications but relied on FMO colleagues to carry out the job for them
3. Last minute's requests
4. Students did not provide necessary materials for the project. FMO colleagues have to use the University's resources instead. In fact, the core business of FMO is to provide support and maintenance to the University. Supporting individual student projects are understandably not their scope of work. In view of the budget constraints, the following new measures will be implemented by FMO immediately :
Students are required to send work request with detailed description (with diagrams and dimensions where applicable) via the SCM General Office at least ONE WEEK in advance
Only simple installation work will be carried out. Manufacturing/Production request will not be considered
Provision of service will be subjected to FMO's availability of manpower


Finally, please observe the following rules when using the University's facilities :
-Don't dismantle any facilities in the classrooms
-Maintain cleanliness and tidiness of the venue
-Take care of the property that is on loan from the University
-Do not block off emergency lighting, fire services installation and emergency exit
-Setting should not obstruct others
-Reinstate the area after use
-Inform General Office to release the venue if the venue or facilities is no longer required
